In these instructions, we assume that you have already set up employee records for all e-xpense users, and we provide details only for those steps that are related to e-xpense.
Perform the following steps for each employee who will use e-xpense.
To activate e-xpense for employees
From the JAMIS Administration home page > Setup tab, under Master Files, click Employees. Or, from the top of any JAMIS Administration screen, click Master Files > Employees. The Employee Details screen appears.
Under Filters, enter the employee ID, then click Retrieve. The employee’s information appears in the bottom section of the screen.
Click Edit to the left of the employee. JAMIS makes the employee data editable.
If the employee record does not have an email address, enter one now. e-xpense uses this address to send email messages.
If you want to use the job assignment code to find the job number/cost element for charging unallowable expenses, enter a job assignment code. If you do not enter one here, then e-xpense uses the one in the employee's home org9.
If you are setting up an employee record for a user who mass enters expenses on the web, enter the Security User ID. You must enter an ID that you have already set up under the Security menu. To look up valid user IDs, click to the right of the field.
Tieing the employee and security records together in this way allows a user to log in with the same ID and password for both entry/approval and administrative functions. The employee will not have access to mass expense entry unless you enter a user ID here that is linked to a security record that has an appropriate level of access.
Click the e-xpense Data tab.
Click the Use e-xpense check box.
Click the Approver for e-xpense check box, if applicable. In order for the employee to be entered as the e-xpense approver for other employees, you must check this box.
Click the Auditor for e-xpense check box, if applicable.
Note: In order for the employee to be part of an approver/auditor group, you must check either the Approver for e-xpense box or the Auditor for e-xpense box.
Enter the employee ID for this employee’s e-xpense approver. To look up valid approvers, click to the right of the field.
Click Save to commit your entries under all Employee Details tabs.
