Approvers can approve time cards that have been exported to the archive tables if the time cards were not fully approved before the export. This means if your company’s policy is to export time cards with statuses other than approved, such as submitted or partially approved, then approvers can go back and approve archived time cards so that e-timecard can store their electronic signatures in the archived database records.
The ability to approve archived time cards is automatic, as long as you leave the Approvers can approve and reject archived time cards check box on the Parameter Setup screen, Approvals tab at the default of turned on. You do not need to perform any setup tasks, but you should be aware of the impacts of the following settings on the e-timecard Initialization screen, Approvals tab.
The fields in the Regular Time Card column refer to any time card with an amendment number of zero in the database, meaning a time card that has not been changed since it was last archived. This can include both current time cards and unchanged, archived time cards.
The fields in the Amended Time Card column refer to any time card with an amendment number greater than zero, meaning a time card that has been changed since the last time it was archived and brought back into the current database tables.
When an approver approves or rejects an archived time card, e-timecard updates the time card status and approver information in the archived database records.
If an approver rejects an archived time card, then e-timecard sends an email to both the rejecting approver and the employee. If the time card was partially approved before the approver rejected it, then e-timecard also sends emails to any approvers who had already approved it. The time card stays in the archive tables as rejected and, if necessary, the employee can reopen it to make amendments.
