Selecting a combination pay code


If your company lets you select combination pay codes, then your personal pay codes list contains any combination pay code that you’ve entered on any time card. To enter one of these preexisting combination pay codes on your time card, you simply select it from the Pay Code (user-defined label) dropdown list. You can also create a new combination pay code if the one that you need does not exist.

When you create a new combination pay code, you may be able to select component pay codes from only your personal list, or from a master list that contains either all company codes or all codes for your employee type. If you have access to the master list, then you will see a Show All button on the Create Combination Pay Code (user-defined label) screen. When the button shows a +, click it to see codes from the master list. When the button shows a -, click it to see codes only from your personal list.

Note: The steps that follow describe the default way to enter combination pay codes on time cards. Depending on your administrator's settings, you may not see a dropdown list, or you may see a Look Up to the right of the field that you can click to look up and create new combinations. Or you may be able to enter a combination pay code manually: enter the primary pay code first and then any secondary pay codes; separate each pay code in the field with a comma and no spaces, as in this example: REG,TRV,HAZ

To select a combination pay code

  1. On the Edit Time Card screen, select the combination pay code from the Pay Code dropdown list.

  2. If you need to create a combination pay code that is not in the list, select Create from the Pay Code dropdown list. The Create Combination Pay Code screen appears.

  3. By default, both the primary pay code and secondary pay code lists display only pay codes from your personal list. If you have access to the pay code master list, then you can click the Show All button to switch between viewing all available pay codes or only personal pay codes.

  4. In the primary pay code list, click the radio button to the left of the primary pay code that you want to add to the new combination. You can select only one primary pay code.

  5. In the secondary pay code list, click the check boxes to the left of each secondary pay code that you want to link to the primary pay code that you selected. You can select between one and three secondary pay codes, depending on your company's setup.

    Hint:
    You can use the Combination Pay Code screen to look up a single pay code that is not in your personal list. To select only a single pay code to add to your time card, simply click the radio button for that code in the primary pay code list and do not select any secondary pay codes. You cannot, however, add secondary pay codes to your time card without selecting a primary pay code.

  6. Click OK to add the combination pay code to your time card.

    If you created a new combination pay code, then the combination pay code is now in your personal list and available for selection from the Pay Code dropdown list.

Note: If necessary, you can delete a combination pay code .
