Follow these instructions to search for, open, and change archived employee time cards. You can retrieve multiple archived time cards to create a review list, from which you can select as many archived time cards to view or change as you wish.
To select an archived time card for mass entry
Do one of the following to access the Mass Amend Time Cards screen.
Log in, selecting Mass enter time cards from the Go to dropdown list. When the Mass Enter Time Cards screen appears, click the Mass Amend Time Cards tab.
From the upper-left corner of any e-timecard application screen, click Administration > Mass Enter Time Cards > Mass Amend Time Cards.
Enter a time card period start date or a range of start dates as search criteria, or leave the default of the earliest date in the system to retrieve all archived time cards for the employee who you enter.
Hint: You can enter the dates manually. You can also click to the right of either date field to select a date from a calendar.
Enter the org9 (user-defined label) that the employee whose time cards you want to review belongs to. You can look up an org9 by clicking to the right of the field.
Depending on your company’s setup, you may be required to enter an org9 in order to retrieve time cards, or the org9 may be optional.
Enter an employee ID. Entering an employee is required in order to retrieve archived time cards. Depending on your company's setup, you may be able to click to the right of the field to look up the employee.
After you look up the employee or click Retrieve, e-timecard automatically displays the name of the employee whose ID you entered.
To review unapproved time cards, leave the Pre-Approved box unchecked. To review pre-approved time cards, click the Pre-Approved check box. If you are allowed access to only one type of time card, then you cannot change whichever option is pre-filled in this field.
Check the Amended Only box if you want to review only those time cards that have been changed since the last time that they were archived.
Click Retrieve to list employee time cards that match the criteria that you entered. For each time card, you can see the time card start and end dates, status, whether the time card has soft errors, number of hours on the time card, and whether the time card has been changed since the last time that it was archived.
Do one of the following, depending on whether you want to review one archived time card or multiple time cards.
One time card: Click Select to the left of the time card that you want to review. The View Time Card screen appears with the time card that you selected.
Multiple time cards: Click the check box to the left of each time card that you want to review, then click Review Selected. The View Time Card screen appears with the first listed time card among those that you selected.
The order in which the time cards appear depends on how you sorted the list on the Mass Amend Time Cards screen; by default, it's sorted by start date. At any time, from any time card view, you can select a different time card from the Select a time card period dropdown list to move among the time cards that you selected to review.
On the View Time Card screen, you can see the daily allocation of time to each job, in display-only format. If desired, you can click a different time card view tab.
If you do not want to change the time card, skip the remaining steps.
Click the Edit Time Card tab.
Click on the field that you want to change. Then highlight the entry and type the new value, or select a different option from the dropdown list.
Add new information to the time card, such as additional job lines, as needed. Follow the steps for entering labor data.
Make any other changes to the time card by repeating step 11 and/or step 12.
When you are finished correcting the time card, click Save.
Depending on your administrator's settings, the Explain Changes screen may appear, listing all changes that you have made to this time card since opening it or last saving it. If this screen doesn’t appear, skip to step 19.
Select the appropriate reason code from the dropdown list.
If "(explain)" appears to the right of the reason code that you selected, then you must type specific details about the change in the Explanation field. Otherwise, if there is an Explanation field, it is optional.
If you made more than one change on the time card, repeat steps 15 and 16 to select reason codes/enter explanations for each change.
Hint: You can apply the same reason code/explanation to multiple time card changes. Click the check box for each time card change row that you want to apply the same reason code/explanation to, or click the check box above the rows to select all time card changes on the screen. Select the reason code and type the explanation in the Multiple Changes section, then click Apply.
Click Continue. e-timecard saves your time card changes and your reasons/explanations.
You must click Finish Mass Entry once you’ve made all changes.
The screen that appears after you click Finish Mass Entry depends on whether you selected to review one time card or multiple time cards.
One time card: e-timecard returns you to the Mass Amend Time Cards screen. Repeat from step 2 to retrieve archived time cards that match different criteria. If you entered an org9 on this screen, then it stays on the screen so you can retrieve archived time cards for a different employee in the same org9 if you wish.
Multiple time cards: e-timecard brings you to the next time card listed among those that you selected. Repeat from step 10 to change this archived time card.
If you clicked Finish Mass Entry for the last time card listed among those that you selected, then the Mass Amend Time Cards screen appears instead, even if there are more time cards in the selected list that you did not yet review.
