For an employee to save an expense form, the form must contain a currency code. For this reason, you must set up at least one currency code for your company. We call this currency the base currency.
Optionally, you can set up multiple currency codes with different rates. The employee can select from these codes when entering details for an item on an expense report.
Later, when you set up vendors, you can enter a currency code in the vendor file as a default for the employee.
To set up a currency code
From the JAMIS Administration home page > Setup tab, under Application Setup, click Currency codes. Or, from the top of any JAMIS Administration screen, click Application Setup > Currency Codes. The Currency Codes and Rates screen appears.
Click Add to create a new currency code. In the top section of the screen, currency code entry fields appear.
Enter a currency code of up to four characters.
Enter a name of up to ten characters.
Enter a symbol for the code, such as a dollar sign ($).
In the Rate if no Detail field, enter the currency rate that the system uses if there is no detail record. If this is your company’s base currency code, enter 1.0
. For currencies other than the base, determine the rate by dividing the base currency by the foreign exchange rate.
Note: Setting up currency code detail records for different currency types is optional.
Enter the country where the currency is used.
Click Save to commit your currency entries.
Hint: While adding a new currency code, if you haven’t clicked Save yet, you can click Back to cancel any entries that you’ve made. From there, you can choose to restart the process for adding a new currency code, or you can retrieve existing codes to change or delete.
Click Add Detail to create a detail record for the currency code. In the bottom section of the screen, currency detail entry fields appear.
Select a currency type from the dropdown list. You define currency types on the Valid Values screen.
Enter an effective date for the currency detail record. You can enter the date manually, or you can click to the right of the field to select a date from a calendar.
Enter the rate for one US dollar.
Click Update to commit your currency detail record entries.
To add another currency detail record to the same currency code, click Add Detail and repeat from step 10.
Repeat from step 2 to set up additional currency codes.
