Creating time card profiles for fixed work days


Fixed work days are days for which your company sets specific limits for daily hours worked. You can indicate overtime compensation for any hours above the daily limit.

Fixed work days in a profile means that employees must enter hours for the day that conform to your setting for minimum, maximum, or a range. If their hours do not conform, e-timecard looks at the employee type error handling settings and issues error messages based on those settings.

To create the profile header for fixed work days

  1. From the JAMIS Administration home page > Setup tab, under Time Card Setup, click Time card profiles. Or, from the top of any JAMIS Administration screen, click Time Card Setup > Time Card Profiles. The Time Card Profiles screen appears.

  2. Click Add. The screen displays time card profile header entry fields in the top section.

  3. Enter up to 10 characters to designate a time card Profile Code.

  4. Enter up to 30 characters for a Description of the code.

  5. Select an existing time card Schedule Code from the dropdown list.

  6. Select a Profile Frequency from the dropdown list.

    Note:
    The profile frequency defaults to the time card frequency that you set in the time card schedule. Whether you can change the profile frequency depends on the time card frequency. See a table that explains the relationship between these fields.

  7. If employees attached to this profile should always receive overtime, click the Mandatory Overtime check box. Selecting this option means that if an employee enters overtime, and total hours do not meet the standard for the day or period, then the program issues a soft error even if the employee type is set to hard error. If you are validating only daily entries, then you should check Mandatory Overtime.

    For example, you can require mandatory overtime for two twelve-hour days for a weekly total of 24 hours (rather than the expected 40); or for six seven-hour days.

  8. Click the Warn when employee doesn't meet both daily and profile total check box if you want e-timecard to generate an error if an employee's entries do not match both daily and profile totals.

  9. For the Use time card schedule hours for the total regular hours dropdown list:

  1. Select an existing profile error message from the dropdown list.

  2. Click Save to commit your time card profile header entries. The screen displays time card profile detail lines in the bottom section.

    Hint:
    While adding a new time card profile, if you haven’t clicked Save yet, you can click Back to cancel any entries that you’ve made. From there, you can choose to restart the process for adding a new time card profile, or you can retrieve existing profiles to change or delete.

To create the profile detail for fixed work days

  1. Click Edit to the left of the daily detail line for which you want to make entries. Editable detail entry fields appear.

  2. In the Regular From and Through fields, enter up to two decimal places for the minimum, maximum, or range of fixed hours that an employee is scheduled to work.

  3. If you wish, select an existing profile error message from the dropdown list.

  4. Click Update to commit your time card profile detail entries.

  5. Repeat steps 1 through 4 for each applicable day.

  6. Click Edit to the left of the total detail line for which you want to make entries. Editable detail entry fields appear.

    Depending on the profile frequency, this can be a weekly, biweekly, semi-monthly, or monthly total. See a
    table that shows the relationship between the profile frequency and the units of time for which you can set totals.

  7. In the Regular From and Through fields, enter up to two decimal places for the minimum, maximum, or range of hours.

    Hint:
    When you create a time card profile for fixed work days, you can optionally leave all of the total fields blank. If you do this, set error handling for the daily checking to either hard error or soft error on the Employee Types screen.

  8. If you wish, select an existing profile error message from the dropdown list.

  9. Click Update to commit your time card profile detail entries.

  10. Repeat steps 6 through 9 for each applicable total.
