The instructions that follow tell you how to change employee time cards that have not been exported to payroll. These are the only time cards that you can change, because approvers are never allowed to modify archived time cards.
To change a current employee time card
Open and review the employee time card, using one of the methods described in steps 1 and 2 for approving time cards by employee.
From any of the time card views, click the Edit Time Card tab.
Click on the field that you want to change. Then highlight the entry and type the new value, or select a different option from the dropdown list.
Add new information to the time card, such as additional job lines, as needed. Follow the steps for entering labor data.
Make any other changes to the time card by repeating step 3 and/or step 4.
Note: If the employee whose time card you’re viewing is allowed to enter start/stop times, your company’s setup may let you change them. To do so, click Start/Stop Time; change, add, or delete entries as appropriate; then click OK to apply your changes and return to the time card. Remember to click Save on the Edit Time Card screen to commit your start/stop changes to the database.
When you are finished correcting the time card, click Save. The Explain Changes screen appears, listing all changes that you have made to this time card since last saving it.
Select the appropriate reason code from the dropdown list.
If "(explain)" appears to the right of the reason code that you selected, then you must type specific details about the change in the Explanation field. Otherwise, the explanation is optional.
If you made more than one change on the time card, repeat steps 7 and 8 to select reason codes/enter explanations for each change.
Hint: You can apply the same reason code/explanation to multiple time card changes. Click the check box for each time card change row that you want to apply the same reason code/explanation to, or click the check box above the rows to select all time card changes on the screen. Select the reason code and type the explanation in the Multiple Changes section, then click Apply.
Click Continue. e-timecard saves your time card changes and your reasons/explanations.
Once you have finished changing the employee time card, you can approve it if your company allows approval of open time cards. Or, do one of the following, depending on whether you selected to review one time card or multiple time cards.
One time card: Click Time Card > Approval View > View for Approval at the upper-left of the screen to return to approval functions.
Multiple time cards: Select the next time card that you want to review from the Select a time card period dropdown list.
