If your company allows group expense keepers to enter pre-authorization requests and expense reports for you, then you will receive an email whenever someone else enters your expenses. This email will tell you whether you are required to review and submit the request or report that was entered for you, or if no action is required by you but you can review the request or report if you wish.
If your review and submittal is required, then follow these instructions.
To submit a request or report created by a group expense keeper
Do one of the following to access either the Edit Pre-Authorization Request or Edit Expense Report screen.
When you log in, select Edit a request or Edit an expense report from the Go to dropdown list.
From the upper-left corner of any application screen, click Expense > Pre-Authorization > Edit or Expense > Expense Report > Edit.
From any pre-authorization request or expense report screen, click either the Edit Pre-Authorization tab or the Edit Expense Report tab.
Your request or report with the lowest request/report number automatically opens. If this isn't the request or report that the group expense keeper submitted, then select it from either the Pre-Authorization Request or Expense Report dropdown list.
Hint: Use the request number or report number provided in the email message to help you find the request or report.
Review the request or report.
Make changes if necessary. If you do so, click Save to save your changes.
When you are ready to submit your request or report to your approvers, do the following.
If a password field appears to the left of the Submit Request or Submit Report button, enter your password here. This is the same password that you use to log in.
If you are submitting a travel report for a request that is set up to allow multiple reports, then a Close Request check box appears. If this is the final report for this trip, click Close Request to close the pre-authorization request on which it is based. Note that you can close the request after you submit the report if you need to.
Click Submit Request or Submit Report.
On the Edit Pre-Authorization Request or Edit Expense Report screen, e-xpense displays a message to confirm that you've submitted your request or report.
